1. About this policy

Your Leadership Coach ("we", "us", "our") is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy explains what personal information we collect, why we collect it, how we use and protect it, and your rights in relation to it. By using our platform at yourleadership.coach, you consent to the practices described here.

2. What personal information we collect

We collect only the information necessary to deliver our leadership assessment services:

• Your name and email address (collected at registration)
• Your organisation or church name
• Survey responses you submit (Steward Leadership Inventory and Team Culture Inventory)
• Observer nominations you provide (names and email addresses of your nominated respondents)
• Technical information such as page access timestamps

We do not collect payment information directly — payments are processed by Stripe, which has its own privacy policy.

3. How we collect your information

We collect personal information directly from you when you:

• Register for an assessment on our platform
• Complete a survey
• Nominate observers or are nominated as an observer
• Contact us by email

When you nominate someone as an observer, you are responsible for ensuring they are aware their contact details will be used to invite them to complete a survey on your behalf.

4. Why we collect it — our purposes

We use your personal information to:

• Deliver the assessment service you have registered for
• Send you your unique survey link and any invitation or reminder emails
• Generate your personalised report
• Enable your facilitator to support your assessment process
• Improve our instruments and service over time

We will not use your personal information for unrelated marketing purposes without your explicit consent.

5. How we store and protect your information

Your data is stored in Airtable (a US-based cloud database) and processed via Netlify (US-based hosting). Both services maintain industry-standard security practices including encryption in transit and at rest.

By using our platform you acknowledge that your data is stored and processed outside Australia. We take reasonable steps to ensure overseas recipients handle your information in accordance with the APPs.

We retain your personal information for as long as necessary to deliver the service and comply with our legal obligations. Survey responses and reports are retained for a minimum of 12 months after your assessment is complete.

6. Who we share your information with

We share your personal information only as follows:

• Your facilitator — to support your assessment and debrief process
• Airtable — to store your records securely
• Google (Gmail / Apps Script) — to send transactional emails on our behalf
• Netlify — to host and serve the platform
• Anthropic (Claude AI) — to generate narrative summaries and analysis of assessment results. Only aggregated scores are shared — no names, email addresses, or other personally identifiable information are passed to this service

We do not sell, rent, or otherwise disclose your personal information to third parties for marketing or commercial purposes.

Survey responses are never shared individually. For team assessments, only aggregated results are reported. For the Steward Leadership Inventory, your self-assessment results and observer feedback are shared only with you and your facilitator.

7. Your rights

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate or incomplete information
• Complain about a breach of the APPs

8. Complaints

If you are not satisfied with our response to a privacy concern, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.

9. Changes to this policy

We may update this policy from time to time. The current version will always be available at yourleadership.coach/privacy. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.
